Explanation

The New Resource assistant can be utilized to create a resource of a Person, Crew, or Tool/ Equipment resource type. When creating a new resource, the user can select the required Resource Type and/  or choose from a predefined Resource Configuration.

Additionally, for a Person resource the user can flag the resource as being a Bucket Resources. For more information about Bucket Resource, please see About Resources.

The flow of the resource assistant is dynamic, depending on the Resource Type or Resource Configuration selected. Some steps in the assistant are common to all resource types, but the content of each step will vary depending on the resource type or the Resource Configuration that has been selected. For example, the Mobile Details step is only applicable to Person resources and therefore will not be visible when creating Crew or Tool resources.

When a Resource Configuration has been selected the Use in Maintenance, Use in Projects, Use in Service, Scheduling, and Mobile User flags will be set as per the configuration and be read-only. Depending on the Configuration selected, the steps applicable to the assistant can be enabled or disabled if they are not Required by the Configuration and are set to Visible. In the Resource Assistant Setup section the Steps that have been flagged as Required will be read-only. A Step will not be visible at all if the Visibility is set to Hidden.

Configuration/ Setup Step

It is possible to create a new Person Resource based on an existing Person record, or if no person exists, a new Person record can be created along with the Resource.

A base schedule is required that can be either a Work Time Calendar or a HR Schedule. Note: Shift Pattern Templates can also be applied, see the Schedule and Capacity step.

When the Use in Service toggle is enabled, the resource will be deemed as a Service Resource and you will be able to set the Service Organization and Service Delivery Unit that is applicable to the resource on the Connections tab. Where the Use In Maintenance toggle is enabled, the Site and Company information is required on the Connections tab.

A Person resource can be flagged as being a Mobile User - this enables the Mobile Details in the Assistant. A corresponding User ID is required when creating a Mobile User.

If required, the Person resource can also be defined as a Scheduling resource. Enabling this option ensures that the Scheduling Details step is mandatory and the Scheduling Regions step is available.

A resource’s capacity is usually determined by the hours accumulated from their individual shifts. By defining a resource as a Bucket Resource, it is possible to ensure that a particular resource’s capacity is instead determined by a predefined metric such as Number of Hours per Shift or Number of Activities per Shift.
These metrics are defined as part of a Rule Collection and can be added on the Service>Scheduling>Basic Data>Modelling Basic Data>Rule Collection page.

When creating a Person resource as a Bucket Resource, you can define if the resource is an internal or intended as a Contractor Bucket Resource. If the Contrator flag is enabled then the resource can be linked to a Contractor ID. For more information about Bucket Resource, please see About Resources.

Connections Step

When creating a Person resource, the Connections step allows for initial connections to be defined between the resource and their Company and Resource Group.

If the Use In Maintenance flag is enabled on the Configuration/ Setup step then the Site information can be defined.

If the Use in Service flag is enabled on the Configuration/ Setup step then the Service Organization and Service Delivery Unit can also be defined. The Service Organization and Service Delivery Unit can be used to provide an indicator of Ownership for the Resource.

It is also possible to establish an Employee connection by entering the relevant Employee ID. When creating a resource based upon an existing Person, the default Employment ID will be set automatically if a connection to the Person record exists (based upon an Employee ID that is valid for today's date for the corresponding Person and Company). It is possible to change the default Employee ID if required.

Resource Information Step

Use this step to define Location and Addresses relevant to the Person resource being created. Communication information can also be added here to determine the validity and preference of a resource's contact methods. For Service and Maintenance users the Travel Resource Group can be set here.

Qualifications Step

Certificates and Competencies can be defined on the Qualifications step for a Person resource. When adding qualifications for an existing Person, certificates and competencies are presented in read-only mode.

Skills Step

Relevant skills, skill levels, validity, cost and proficiency information can be defined for the resource on the Skills step. For more information, see the About Skills page.

A series of parameters specific to scheduling can also be applied to the resource skills. In Use/ Not In Use Cost and In Use/ Not in Use Multiplier can be defined to determine the cost and multiplying value that is applied when the skill is available and in use. Availability Patterns can also be applied to a resource skill which acts as a scheduling constraint thus determining that the resource skill is only available for scheduling during the times specified in the applied patterns.

Scheduling Details Step

When creating a Scheduling Resource, this step can be used to define a series of key parameters that are used to Schedule and Optimize the resource.

Scheduling Resource Regions Step

When creating a Scheduling Resource, this step can be used to connect the resource to multiple Location Regions. The regions are defined in the Location Basic Data/Location Region.

Schedule and Capacity Step

The Schedule and Capacity step can be used to define a resource's utilization percentage and schedule information that is used to drive capacity such as the HCM Schedule/ Calendar or Shift Pattern Template.

Once the schedule information is defined it is possible to initiate the schedule and capacity generation for the resource upon completion of the New Assistant by selecting one of the following options:

Generated shifts and Capacity can be viewed and edited in multiple pages: Resource Availability, Resource Shift Gantt, My Resource Shift Gantt, Resource Shift Calendar and My Resource Shift Calendar page.

The resource may be allocated a default Scheduling Dataset value according to the Ownership information defined on the Connections step, it is possible to set a different value manually if required.

The Dataset field on Resource Details (and Service Resource Details) and New Resource Assistant will have a badge that will display Scheduling Dataset Inherited Yes or No. This will indicate whether this value is Inherited (i.e. coming from the corresponding Site/SO/SDU ownership) or whether it is Not Inherited and has been setup on the Resource itself.

Defining Time Zone 

Upon the creation of a new Person, Crew, or Tool resource, there is an option to set the Time Zone. The Time Zone can be defined manually or according to the Inheritance Logic.

To manually define the Time Zone, uncheck the Time Zone toggle. In this case, the Time Zone field becomes mandatory, and you need to select the required Time Zone from the List of Values.

Another option is to check the Time Zone toggle. In this case, the Time Zone will be derived according to the Inheritance Logic.

The Inheritance Logic is following:

1. Derived from the Time Zone set on the Address ID Start Location for the Active Schedule Resource. If this parameter isn’t configured, the Time Zone will be derived from the Address ID Start Location of the applicable Schedule Resource Type.

2. Derived from the Service Organization Time Zone.

3. Derived from the Primary Site Time Zones specified on the Connections page.

4. Derived from the server time

Attributes Step

The Attributes Step can be used to apply existing attributes to the resource. Attributes can be defined on the Resource Attribute Manager and Resource Attribute Values basic data pages and are assigned an Attribute Type value upon creation (Shift, Scheduling, Resource). Only attributes of Type Resource can be added on this step.

Mobile Details Step

The Travel Resource Group can be added or modified on the Mobile Details step if if had not been defined on the Resource Information step. For Service and Maintenance resources the Default Time Type and Default Travel Time Type can also be set based upon the Site connection.

In addition, if the resource is linked to a User ID then it is possible to define the following, subject to Site permissions:

Sales Step

The Sales step will be visible if it is enabled as part of the Configuration selected and the person resource being created is a Service or Maintenance resource.

On this step the user will be able to define a Default Time Type and Default Travel Time Type filtered by the Site - the site as defined on the Initial Company and Site Connection on the Connections step.


Crew Resource

Configuration/ Setup Step

When creating a Crew resource you will be asked to provide a valid Resource ID and Description on the Configuration/ Setup Step. A crew resource can be defined as being a Schedulable resource and it can be set as being Used in Service, Maintenance, and/or Projects. When the Use in Service toggle is enabled, the resource will be deemed as a Service Resource and you will be able to set the Service Organization and Service Delivery Unit that is applicable to the resource on the Connections tab. Where the Use In Maintenance toggle is enabled, the Site and Company information is required on the Connections tab.

Depending on the Configuration selected, some steps may be optional or mandatory and these are displayed in the Resource Assistant Setup section.

Connections Step

When creating a Crew resource, the Connections step allows for initial connections to be defined between the resource and their Company and Resource Group.

If the Use In Maintenance flag is enabled on the Configuration/ Setup step then the Site information can be defined.

If the Use in Service flag is enabled on the Configuration/ Setup step then the Service Organization and Service Delivery Unit can also be defined. The Service Organization and Service Delivery Unit can be used to provide an indicator of Organizational Ownership for the Resource.

Resource Information Step

Person and Tool Resource Types can be added as Planned Members of the crew on the Resource Information step. A Crew Leader can also be defined along with the Crew's Start and End Locations. For Service and Maintenance crews the Travel Resource Group can be set here.

Skills Step

Crew Skills can be added at the Skills tab along with a series of relevant attributes such as the Skill Level, Proficiency, Validity dates and Availability Pattern. The Crew can also be flagged here as Inheriting Member Skills. With this option enabled, skills of individual resources added to the crew will be inherited to the crew itself.

Similar as for Person resources, a series of parameters specific to scheduling can also be applied to the resource skills. In Use/ Not In Use Cost and In Use/ Not in Use Multiplier can be defined to determine the cost and multiplying value that is applied when the skill is available and in use. Availability Patterns can also be applied to a resource skill which acts as a scheduling constraint thus determining that the resource skill is only available for scheduling during the times specified in the applied patterns.

When creating a Scheduling Resource, this step can be used to define a series of key parameters that are used to Schedule and Optimize the resource.

Tool Resource

Configuration/ Setup Step

When creating a Tool/Equipment resource you will be asked to provide a valid Resource ID, Description, and Calendar on the Configuration/ Setup Step. The Calendar determines the schedule information that is used to drive capacity such as the HCM Schedule/ Calendar or Shift Pattern Template.

For a Tool resource, the Item Class can be added here. The Item Class can be used to hold failure analysis data that may include the cause, symptom, and applicable corrective actions.

If the Use in Service toggle is enabled when creating a Tool resource, you will be able to set the Service Organization and Service Delivery Unit that is applicable to the crew resource on the Connections tab. Depending on the Configuration selected, some steps may be optional or mandatory and these are displayed in the Resource Assistant Setup section.

Connections Step

When creating a Tool/ Equipment resource, the Connections step allows for initial connections to be defined between the Tool resource and the Company and Resource Group.

If the Use In Maintenance flag is enabled on the Configuration/ Setup step then the Site information is mandatory.

If the Use in Service flag is enabled on the Configuration/ Setup step then the Service Organization and Service Delivery Unit can also be defined. The Service Organization and Service Delivery Unit can be used to provide an indicator of Ownership for the Resource.

Schedule and Capacity Step

The Schedule and Capacity step can be used to define the Tool/ Equipment resource's utilization percentage and schedule information that is used to drive capacity. The Calendar as selected on the Setup/ Configuration step is preselected but can be changed here if required.

If available, it is possible to initiate the schedule and capacity generation for the Tool resource upon completion of the New Assistant by selecting one of the following options:

Generated shifts and Capacity can be viewed and edited in multiple pages: Resource Availability, Resource Shift Gantt, My Resource Shift Gantt, Resource Shift Calendar and My Resource Shift Calendar page.
