About Project Access

Project Access is a tool to specify who will have access to specified sub-projects. If your project requires access control, you should enable Project Access to limit access to specified persons. Otherwise, Project Access should be disabled, making the project available to all users in the system. Except for updating project manager, sub project manager and access control, you do not have to be a manager to add/remove/modify information for a project, it is enough to have access through a project team. 

Enabling Access Control

If your project requires access control, everyone who needs to see and/or register data must have access to the relevant part of the project. Access is controlled by connecting selected members to project teams and then granting project access to these teams.

Project Teams are defined in the Project Team page, and access definitions for each project are managed on the Project Setup Parameters - Access and Roles page.

Project Teams and Team Members

When defining project teams and specifying team members, it is important to note that if the team member should have access to report time and/or cost on project activities, they must exist as an employee in the company associated with the project. If the team member does not need to report time or cost and only needs access to see/update project information, they can belong to any company. Project teams are defined in the Project Team page.

Default Access

By default, the project manager has access to the complete project. Individual sub project managers only have access to their sub project and the sub project structure beneath the sub project they manage.

User Project Access

This page is a simple query version of the Projects overview page. All users can see basic information about all projects but cannot make any changes. The page is intended for all employees to see all project names, project managers, etc., but not the project structures.

Project Invoice

If this page is available, you can view all invoices and their respective invoice lines. This ensures that you see the complete invoices, not just the parts related to the activities you have access to.  Note that project access works on the Create Project Invoice page, so you cannot create project invoices for projects you do not have access to.

Project/Accounting / *All pages for Accounting and WIP

Accounting is performed for the entire company, not for a single project. Therefore, you can do accounting without project access if you are granted security access to these forms.

Project Invoice, Accounting Rules and General Ledger

In Project Invoice and Accounting Rules, you can use all Project Activity Sequence numbers, even if you do not have access to them through project access. They will not be visible through the List of Values (LoV), but you can type them in manually. All projects are visible through the LoV and can be used. Project Invoice, Accounting Rules, and General Ledger are not otherwise affected by project access, so you are able to view all financial projects.
