This activity focuses on defining Approval Configurations, including approval levels, to streamline and manage the approval process.
To ensure the seamless flow of approvals for the requested changes, it is essential to establish an Approval Configuration alongside a Lifecycle Change Request Configuration, as both are necessary for successful setup of the approval process. Each Lifecycle Change Request Configuration can be associated with only one Approval Configuration.
Once the general information for the Approval Configuration is established, the next step is to configure the Approval Configuration Levels. This allows users to define and customize approval workflows based on criteria such as Team, Structure with Organization and Position, Supervisor Type, and specific Person. At least one approval level is required for each configuration, with no limit on the number of levels that can be created.
Each level is assigned a unique Approval Order number, which is system-generated and maintained specifically for each Approval Configuration. Should there be a need to change the order of the approval levels after they have been added, this can be easily done using the Move Up and Move Down options.
In configuring an approval level, combinations of options are not permitted.
Opting for the Team option designates all members of the specified team as approvers.
Selecting the Structure with Organization and Position option includes Employees with an active assignment within the designated Structure as approvers, and the approver will be the Person assigned to that specific Employee. This option requires the mandatory selection of Structure, Organization, and Position. If the selected Structure is a Matrix Structure, relevant details from all connected Companies will be considered when determining approvers.
Selecting the Person option designates a specified individual as the approver.
The selection of the Supervisor Type option is based on the Supervisor Configuration Type set in the Access Setup Configuration page at the time of selection.
The definitions of the Supervisor Type options are outlined as follows:
Once the configuration is set up with the approval levels, it will facilitate the seamless fetching of approvers in sequential order, ensuring a streamlined and efficient approval process across the necessary areas. The approval process will be driven by this defined Approval Configuration, along with the Supervisor Configuration Type set in the Access Setup Configuration page, which will be considered at the time of retrieving approvers for the process.
This activity will result in the creation of an Approval Configuration, establishing the essential workflow for the approval process.
