Handle Counting Using Count Report

Explanation

Use this function when you want to enter the results of your physical inventory counting of inventory parts. The counting can be performed on a details or details with aggregated serials or an aggregated on handling units/locations level.

In the upper pane of the Aggregated on Handling Units/Locations tab the aggregated lines are displayed. The outermost handling unit that in full contains lines from the count report is shown by default. If counting should be reported for a sub-level of a handling unit structure it is possible to view all handling units included on the count report using Show All option.

In the upper pane of the Aggregated on Handling Units/Locations tab if only a part of the handling unit content is included in the count report or the stock record is not attached to a handling unit the records are aggregated per location and does not have a handling unit reference. When the Handling Unit ID field is blank, the parts are not attached to a handling unit or only part of the content of  the handling unit is included in the count report.

Counting on a detailed level can be performed in the lower pane. The lower pane has the same functionality as the Details tab.

The upper pane of the Details with Aggregated Serials tab shows the aggregated serials lines and non-serials lines. The main purpose is this tab is to aggregate counting serials, therefore it shows a limited number of columns for the upper pane. To force manual count input hidden the On Hand Qty column. Now users can see the aggregated serials instead of individuals then users can enter counting results in the Counted Qty for the part. If there is a quantity mismatch for serialized parts, it is required to report on details level to review down to specific serials. With this tab, it will be possible to perform a successful counting for serialized parts by simple stating the correct quantity for the part rather than verifying each and every serial. For the non-serials records in the upper pane can see its sequence no but for the aggregated serials this column is null. Counting on a detailed level can be performed in the lower pane. The lower pane has the same functionality as the Details tab.

For aggregated counting serials user must use the Print Detailed Report because if a user report is aggregated per qty and it doesn't match for a serialized part then the user would need the detailed information per serial.

Note:

• For each part where a counting difference has been discovered, enter the quantity counted in the Counted Quantity field. For the parts with no counting difference, you can either enter the result manually or use command Count Without Differences in the following situations, 
  • If the stock is unfrozen when performing the "Count without Difference" command, the current On Hand Qty fetched from the Inventory Parts in Stock will set as Counted Qty.  As a result of this, the count report line Counted Qty will be updated with the current Qty on Hand as stored in the application. In this scenario, it is recommended to perform the Count Without Difference command per line first, then compare the values stored in Counted Qty and On Hand Qty to ensure they correspond to the actual quantity at the location. If they do not match, the Counted Qty should be updated manually. Note: Compare the current On Hand Qty with the actual stock on the location (Inventory Parts in Stock page)
  • If the stock is frozen then On Hand Qty will be fetched and saved as a snapshot value from the stock record into the count report line. Then, when executing the Count Without Difference command, the count report line will be updated with the snapshot quantity if there is no on-hand quantity and counted quantity for that record.

• If the part is at receipt and issue serial-tracked, but not in inventory serial-tracked, and the quantity counted differs from the on-hand quantity then a dialog will open automatically. If the counting difference is positive then enter the new serial number(s). If the counting difference is negative then select the missing serial number(s) by using drop-down.

Prerequisites

• A count report must have been created from Create Count Report page.

System Effects

If the parts are frozen while counted, they are released whenever the counting results have been reported and confirmed, provided they are not rejected by the counting limits. Then you can perform any inventory movement of the part(s) again.
Note: If the count result is rejected and the parts had not been previously frozen, they will become frozen until the count result is approved or canceled.

Any divergence between the quantity stated in the system and the quantity physically counted is shown in the created inventory postings and in the Cumulated Counting Difference field in Inventory Part/Main/Counting section. This value is the total divergence for the inventory part. The counting difference per inventory part location can be seen in Quantity per Location Details page. In the same page, information about the last and next count date is displayed, including whether the part is frozen for counting.
