Create Sign-Off Roles

Explanation

This activity is used to define and manage roles responsible for sign-off points related to Permits, Isolation and Isolation Orders. Only personnel assigned to the sign-off role, possessing the required competencies and certifications associated with the role, are authorized to perform sign-offs. This ensures enhanced workplace safety and regulatory compliance. Sign-off roles can be created, modified, or deleted. Persons can be assigned to these roles, and relevant competencies and certifications can also be linked. To define a sign-off role, update the role name in the Sign-Off Role field (e.g., Permit Coordinator, Supervisor) and provide a description in the Description field before saving the record.

The page includes two tabs: Persons and Qualifications

The Persons tab allows adding personnel authorized for sign-offs by selecting a person from the drop-down list in the Person ID field, which auto-populates the Person Name field.

The Qualifications tab allows the addition of competencies and certificates to sign-off roles. In the Competencies section, mandatory fields include Competency Group (e.g., Engineering), Competency (e.g., Welding), and Competency Level (e.g., Specialist, Expert). These fields can be selected from predefined values available in the drop-down menu. Including competencies such as Welding is essential for tasks requiring hot work permits, ensuring that sign-offs are performed by individuals with advanced qualifications.

Similarly, the Certificates section requires the completion of Certificate Group (e.g., Safety Certificates), Certificate (e.g., Mining Occupational Safety and Health), and Certificate Level (e.g., Specialist, Expert), all of which can be selected from predefined drop-down values.

Note: Permits, Isolations and Isolation Orders can be signed off by personnel listed under the Persons tab or by any personnel who possess all required competencies and certificates defined in the Qualifications tab, ensuring that critical safety tasks are handled by qualified and authorized individuals.
