Supervisor Access Overview
Explanation
The Access Information page provides a comprehensive
overview of an individual's access details, including both the Accessible
Persons and the Accessing Persons. While you cannot
perform any actions within this view, you can select an individual to review
their access details, which will then be displayed in a detailed format.
- Accessible Persons: This section displays the persons
whom the designated Person in the Person Details
section can access. It provides details on the Access Role
assigned to the Person (the supervisor), specifying the
extent to which they can manage the Accessible Person's
data. Additionally, it includes information on the Validity Period
and the permitted transaction view period.
- Accessing Persons: This section displays, by
Access Role, the Person (the supervisor)
that the designated Person in the Person Details
section. It includes details such as the Validity Period
and the permitted transaction view period.
For a Person, access to Accessible Persons
or Accessing Persons is granted based on the following options:
- Supervisor Assignment: This represents the standard
Team-based Supervisor and Member
access assignments.
- Additional Access Assignment: This refers to
Personal File - Additional Access
assignments within the context of Person
or Role-Based Access Group. Unlike standard Team-based
Supervisor and Member assignments, this
method allows a Person to establish supervisory relationships
through alternative means.
- Role-Based Access Group: This process allows multiple
Teams or individuals to access multiple Persons
simultaneously, extending beyond standard Team-based
Supervisor and Member assignments. It
is also featured in the Personal File -
Additional Access assignments section, specifically
within the context of a Role-Based Access Group.
The Access Information Overview page provides a
comprehensive view of all access relationships established through the
Supervisor, Role-Based Access Group and
Additional Access mechanisms. Although this page is read-only
and does not allow direct actions, the search and filter options enable you
to explore the access details for both Accessible Persons -
individuals who can be accessed by another person or supervisor and
Accessing Persons - supervisors or individuals who have been granted
access to someone else.
For deeper insights, you can navigate to the originating source of the access,
providing a deeper understanding of the specific relationships or permissions
that have been granted.
- If the access originates from Supervisor Assignment
- referring to standard Team-based Supervisor
and Member access assignments - you can view the details
by navigating to the Team Assignment page.
- If the access is based on a Role-Based Access Group,
where multiple Teams or individuals are granted access
to multiple Persons simultaneously, extending beyond the
standard Team-based Supervisor and
Member assignments, you can view the details by navigating
to the Role-Based Access Group page.
- If the access is granted through Additional Access,
which refers to Personal File - Additional
Access assignments within the context of a Person,
this method allows a Person to establish supervisory relationships
outside of the standard Team-based Supervisor
and Member assignments. In this case, you can view the
details on the Person Assignment page. Additionally,
this Additional Access assignment permits access to
Direct Subordinates, and in such scenarios, it also allows
navigation to the Team Assignment page for further
details.
Each access record details the Access Role, which defines
how an Accessing Person can manage the data of an Accessible
Person. It also specifies the duration for which the access is granted
and the period during which the Accessing Person is allowed
to view the transactions of the Accessible Person.
To uniquely identify the established relationship, the Access Type
Name can be used, which may be either a Team ID or
a Role-Based Access Group ID.
The Direct Access or Subordinate Access
are used to specify the subtype of access:
Direct Access: Represents a direct connection between a
Supervisor and a Member through Teams,
or direct access granted via Additional Access in
Personal File - Assignments or through a Role-Based
Access Group.
Subordinate Access: Refers to a Supervisor-Member
connection within Teams that allows the Supervisor
to access the Member's Direct Subordinates.
This can also include Additional Access in Personal
File - Assignments, extending access to the Person's
direct subordinates through the Team.
Access to Employees associated with an Accessible
Person is determined by the All Employments setting.
If All Employments is set to Yes, all active
Employees linked to that Person will automatically
have access without needing individual listings. Conversely, if it is set to
No, only the specified Employees will be granted
access.
Prerequisites
- Persons: Must be registered in the system.
- Employees:
Registration in the system is optional.
- Supervisor's Access Roles: Need to
be defined in the Access Roles.
- Supervisor Assignment, Additional Access Assignment,
or Role-Based Access Group: These need to be defined in
the system, but they are optional.
