Group Pre-Posting Assignments

Explanation

This activity facilitate the bulk assignment of Pre-Posting details to multiple Persons, which is especially useful for including the same Company specific information for many individuals.

 To assign Pre-Posting details:

  1. Select Company: Choose the relevant Company based on the logged-in User’s access privileges.
  2. Select Persons: Choose multiple Persons and their associated Employees Employment from the selected Company or select only Persons for the assignment.

Each Code Part includes the Company-specific Internal Name from the Define Code String page, with values sourced from the Code Part Values page. In the Group Pre Posting Assignments assistant, you can add all Code Parts or selectively include only the necessary ones.

The Validity Period defines the timeframe for which the Pre-Posting details are relevant for the Person’s Employment at the specified Company. Overlapping Validity Periods for Code Strings are prohibited for any Person or Employee within a Company. If overlaps occur during the Review Pre-Posting step, an Alert will be triggered, indicating the issue and providing an option to modify the details.

Upon completing the Group Pre Posting Assignments, the details will be stored in the Personal File within the Pre-Posting section corresponding to the relevant Employment of the Person.

The Pre-Posting assignment at the Person level emphasizes several key impacted areas as detailed below.

The priority sequence for retrieving valid Code Parts in Pre-Posting details is as follows:

  1. Transaction Level: Verify if the system provides a designated space within a transaction.
  2. Personal File: Check the Personal File next. 
    • If the search starts with the Employee perspective and finds a valid record, it retrieves the associated Code Parts and stops looking for a Person record. If no valid Employee record is found, it then checks for a valid Person record.
  3. Access Setup Configuration: Based on the Supervisor Configuration Type:
    • Supervisor from Team and Supervisor Setup or Priority to Team and Supervisor Setup: Prioritize the Team.
    • Supervisor from Organization and Position Setup: Prioritize the Organization.
  4. Fallback: If not found at the Team level, check the Organization.
